Booking Pages

Booking pages let clients choose a time and book online. Use them for mini-session days, seasonal offers, consultations, or services clients can schedule themselves.

Go to Booking Pages to create and manage them.

Choose a booking page type

Choose how you want to manage the work after a client books:

  • Services lets clients book your packages. Each package they book creates a project with their contact information, time, and price.
  • Mini Sessions lets clients book short sessions. Manage these bookings directly on the booking page. You can also offer a waitlist for full time slots.

You cannot change the page type after publishing it for the first time. Create a new booking page if you need a different type.

Create a booking page

  1. Select New booking page.
  2. Choose Services or Mini Sessions and give the page a name.
  3. Select Create booking page.
  4. Complete the page’s Settings before publishing.

Open the Settings tab and choose General, Availability, Settings, or Emails from the section menu. Mini-session pages also have Delivery. On a small screen, use the section picker. Your edits stay in place when you switch sections.

The Settings section starts with Payment, followed by booking options.

General and booking settings

Use General for the name and description clients will see, plus the location. Choose the timezone in Availability.

In the Settings section of a service booking page, select the package clients can book. Turn on Allow booking multiple packages to offer several packages and let clients book more than one at a time. Each package supplies its duration, price, and questionnaire.

For a mini session, set the session duration in Availability and Bookings per slot in the Settings section. Under Booking options, choose whether clients can book multiple time slots, reschedule, or join a waitlist. Set the price under Payment in the same section if payment is required.

Availability and scheduling

Choose when clients can book:

  • Specific dates for selected dates and time ranges.
  • Weekly schedule for availability that repeats each week. Use Booking window to choose how far ahead clients can book.

Set Break between sessions and Minimum notice to leave time between appointments and avoid last-minute bookings. Times use the booking page’s timezone. Clients also see their local time when it differs.

Also on these dates shows other projects and dates offered on published Services and Mini Sessions pages. It checks the whole day, even when times differ. Booking-page matches are labelled Services availability or Mini sessions availability and can appear before anyone books. Select a name to open the project or page.

Tasks are not included. The notice is there to help you plan; you can still save, publish, and offer those dates. For weekly schedules, it checks dates within your booking window. If some dates cannot be checked, the notice tells you. Select Try again if a check fails.

Booking steps

Decide whether clients must sign a contract during checkout.

For a service booking page:

  • Turn on Require a contract to use the package’s contract or choose one for this page. To use package contracts, every package offered on the page must have the same contract. Clients sign one contract per checkout.
  • Questionnaires come from each package the client selects.
  • Clients can choose only add-ons available with every package they select. Booking pages offer only Standard and Expedited delivery add-ons.

Edit package questionnaires and add-ons in Settings → Services & Packages.

For a mini-session page, choose the contract, questionnaire, and add-ons in Contracts, questionnaires, and add-ons.

Questionnaires are sent separately, not during checkout. On a mini-session page, choose when under Send questionnaire: After booking, Before the session, or Send manually. Service pages use each package’s questionnaire timing.

Payment

Choose whether checkout requires:

  • No payment.
  • Payment in full.
  • A deposit, with the remaining balance due later.

You can add tax and choose when the remaining balance is due. Service bookings use package prices; mini sessions use the session price. Add-ons and discounts change the total.

Connect Stripe in Settings → Payments before requiring online payment.

Turn on Let clients enter discount codes if clients should be able to enter a code on the Payment step. Manage codes and automatic discounts in Settings → Services & Packages → Discounts.

Delivery

For mini sessions, use Delivery → Delivery time to set how many days or weeks after the session delivery is due. Leave it blank if you want to choose a date for each job. When a booking includes several sessions, the delivery time starts from the last session date. Set Included photos to record how many photos each booking includes.

Service bookings use the service’s Delivery time. LYGHTBOX uses the delivery time to set a date when work starts. See Fulfillment for managing editing and delivery.

Reminders and follow-ups

On a mini-session page, use Emails to turn on Session reminders before the client’s next session and Follow-ups after their last session. Choose one or more send times for each. You can add a personal note to include in every reminder or every follow-up.

On a service page, emails come from each service’s client emails in Settings → Services & Packages.

If a client books after a reminder’s send time, that reminder is skipped. Cancelling or moving a booking can also change which messages are sent.

Publish and share

Changes save as you work. If saving fails, select Try saving again.

Select Publish to let clients book. If anything needs attention, Before you publish appears with the items to fix. Select an item to open the setting that needs it. These messages appear when you try to publish, so you can edit settings without seeing them after every change.

Later edits stay in draft and show Unpublished changes until you select Publish changes. Until then, clients see the last published version.

Once a page is published, you can update delivery, page details, emails, and payments even after all its dates have passed. Publishing for the first time, choosing Republish on an unpublished page, or changing scheduling settings still requires a future time clients can book. Changing the delivery time does not change delivery dates already set on existing jobs.

Use Booking link in Settings → General to:

  • Open the public page.
  • Copy its link.
  • Use Copy embed code to add booking to your website.
  • Choose whether the page’s name, description, location, and timezone appear when booking on your website.

Unpublish stops clients from booking or rescheduling through the page. Your settings and existing bookings are saved. Archive booking page also stops new bookings and moves the page to Archived until you restore it.

What clients complete

Depending on your settings, clients:

  1. Choose a package or mini-session time.
  2. Choose more times if the page allows it.
  3. Enter their contact information.
  4. Select add-ons or enter a discount code.
  5. Pay the required amount.
  6. Sign a contract, when required.
  7. Confirm the booking.

The client’s time is held temporarily during checkout. If the hold expires, they need to choose an available time again.

Manage bookings

Open the page’s Bookings tab and search for a client or booking:

  • Mini-session pages have Upcoming, Waitlisted, Past, Cancelled, and Reserved filters.
  • Service pages show Projects and Reserved.

Open a service booking’s project to manage the work. For a mini session, open the booking to manage payments, documents, messages, and fulfillment.

To book for a client, select Book client on a published page. Choose a new or existing contact and their session details. The final button depends on what the client needs to do:

  • Reserve & send link holds the time while the client pays.
  • Confirm booking & send contract confirms immediately and sends the contract for signature when no payment is required.
  • Book now confirms immediately when no payment or contract is required.

Open a Reserved entry to check the amount due and whether the hold has a deadline. You can copy or resend the client’s link, record a payment received outside LYGHTBOX, or cancel the reservation. Once the required payment is covered, you can confirm the booking.

Manage fulfillment

Confirmed mini-session bookings enter Fulfillment automatically after their final session ends, once the required contract is signed and the full booking amount is paid. A contract or payment that is not required does not block fulfillment.

To start earlier, open the booking details and choose Start fulfillment in the Fulfillment card. The booking must be confirmed, with its required contract and payment complete. Several sessions booked together share one fulfillment job.

The card keeps the delivery status, date, and gallery links together. Choose Open fulfillment to assign an owner, update progress, manage a checklist, add team comments, and reply to the client. Editing notes in either place updates them in both.

Choose Mark delivered once the work is delivered, or use Send & mark delivered from the job’s Client messages tab. Service bookings follow the same workflow through their projects.

Waitlists and rescheduling

Turn on the mini-session waitlist to let clients request a full time slot. When a spot opens, LYGHTBOX offers it in waitlist order to clients whose requested times are available. They receive a link to finish booking before the offer expires. Set the deadline with Time to book a waitlist spot.

Open a waitlist entry to see the client’s position. You can Reserve requested spot when it is available, Book into another spot, or Remove from waitlist.

With Allow clients to reschedule turned on, confirmed mini-session clients can use the link in their confirmation email to choose another available time. The page must remain published. You can also move or cancel a mini-session booking from its details. LYGHTBOX checks the new time before saving the change.

When you cancel a confirmed booking, LYGHTBOX emails the client that it’s cancelled, with its date and time. Back-to-back sessions are covered in one email. If you choose Cancel & refund, the email mentions the refund. You can add a message to the client in the cancel window, for example to explain why. Cancelling a reservation that was already paid emails the client too, once for the whole reservation and without a message. No email goes out when the session has already passed.
