ChatGPT and Claude
Connect ChatGPT or Claude to your LYGHTBOX account, then ask for what you need: “Which sessions do I have next week?”, “Move the Chen family session to Saturday at 10”, or “Draft a reply to Maya about her session.”
The assistant can look things up in LYGHTBOX. If you allow edits, it can also update your contacts and projects and prepare drafts for you. It doesn’t send emails, launch campaigns, publish booking pages, or charge anyone. Its drafts wait in LYGHTBOX for you to review and send. Your automated client emails keep following your settings, just as they would after the same change in LYGHTBOX.
Connect Claude
Find LYGHTBOX in Claude’s directory:
- Go to Customize → Connectors. In the desktop app, select Customize in the sidebar, then Connectors.
- Select Discover and search for LYGHTBOX.
- Open LYGHTBOX and choose Connect to Claude.
- Sign in to LYGHTBOX on the page that opens.
On Claude Team and Enterprise plans, an Owner adds LYGHTBOX for the organization, then each person connects with their own LYGHTBOX login.
Add it by its address
If LYGHTBOX isn’t in the directory yet, or you’d rather add it yourself, add it as a custom connector:
- Go to Customize → Connectors and choose Add custom connector.
- Enter
https://agents.lyghtbox.com/mcpas the server URL. Leave Advanced settings as they are. If Claude asks how people sign in, choose Sign in now and Use Claude’s published identity. - Choose Add. If Claude doesn’t ask you to sign in straight away, choose Connect next to LYGHTBOX.
On the Free plan, you can add one custom connector. On Team and Enterprise plans, an Owner adds it for everyone from Organization settings → Connectors by choosing Add, then Custom, and Web if asked. Each member then finds LYGHTBOX in Customize → Connectors and chooses Connect. See Claude’s guide to custom connectors.
Use LYGHTBOX in a Claude chat
In the message box, select +, choose Connectors, and turn LYGHTBOX on. Claude may ask before it uses LYGHTBOX; choose Allow once or Always allow.
Connect ChatGPT
Find LYGHTBOX in ChatGPT’s directory:
- Open Plugins in the ChatGPT sidebar.
- Search for LYGHTBOX and open it.
- Choose Install plugin, then Connect if asked.
- Sign in to LYGHTBOX on the page that opens.
In a Business, Enterprise, or Edu workspace, your workspace admin may need to turn LYGHTBOX on first.
Add it by its address
You can add LYGHTBOX by its address in ChatGPT on the web, on Business, Enterprise, and Edu plans. In a Business workspace, only admins and owners can add it. See OpenAI’s guide to custom connections.
- Go to Plugins, select the plus button, then choose Add custom MCP server.
- Enter LYGHTBOX as the name. Under Connection, enter
https://agents.lyghtbox.com/mcpas the Server URL. - Set Authentication to OAuth.
- Review the warning, select I understand and want to continue, then choose Create as a plugin.
- Install the new plugin and sign in to LYGHTBOX when asked.
Use LYGHTBOX in a ChatGPT chat
Type @ in the message box and choose LYGHTBOX. ChatGPT also uses it on its own when your request needs it.
Sign in and choose what it can do
When ChatGPT or Claude sends you to LYGHTBOX:
- If you aren’t signed in, choose Sign in to connect and use your usual LYGHTBOX login.
- If you belong to more than one studio, choose the Account to connect. Each connection works with one account.
- Review what the app will be able to do: read your contacts, projects, bookings, campaigns and client messages, and see your name and your studio’s details.
- Leave Allow edits on if the assistant should create and update contacts, projects, and drafts, or import from another platform. Turn it off to let it read only. You’ll only see Allow edits if your role can change contacts, projects, bookings, or campaigns.
- Choose Connect. You’ll return to ChatGPT or Claude.
Finish in the browser where the page opened. If LYGHTBOX asks you to Continue in the browser where you started, go back to that browser, or start again from ChatGPT or Claude. If the request has expired or was already used, start again from the app.
Signing out of LYGHTBOX doesn’t end the connection. To turn Allow edits on or off later, connect again with the choice you want, refresh the app’s tools, and end the old connection in Connected apps.
What the assistant can do
Everything the assistant sees and changes stays within your LYGHTBOX role, in the account you chose. If your role changes, your connections change with it, and they stop working if you leave the team.
Every connection can look up:
- Contacts, projects, and booking pages.
- Your schedule of sessions and mini-session bookings.
- Client messages on projects and mini-session bookings.
- Campaigns, message templates, and your services and packages.
- A project’s Automated emails.
With Allow edits, it can also:
- Contacts: add contacts and update their details and tags. A contact it adds is set up the same way as one you add yourself, and nothing is sent to them.
- Projects: add projects, which start as new leads, and change their name, session date, time and location, notes, service, package, and amount.
- Email drafts: write the subject and message of the draft on a project’s or mini-session booking’s conversation. The draft is always addressed to that client. You add any attachments and send it from LYGHTBOX.
- Campaigns: create campaign drafts and change their content and audience. You schedule or send them in LYGHTBOX.
- Booking pages: create pages and edit their drafts. Clients can’t book a new page, and your live page doesn’t change, until you publish in LYGHTBOX.
- Message templates: create templates and edit their drafts. Your client emails keep using the published version until you publish.
- Imports: bring your contacts and projects over from another platform. See Move from another platform.
What the assistant cannot do
The assistant doesn’t:
- Send emails, or schedule or send campaigns.
- Publish booking pages or message templates.
- Charge clients, or create invoices or contracts.
- Change a project’s status, or archive or delete anything. Imports are the one exception: they set each project’s status, and can archive past projects if you ask.
- Change a contact’s email or which client a project belongs to.
When you ask for one of these, the assistant tells you where to do it in LYGHTBOX.
Keep these in mind:
- Automated emails follow its changes. A booked project’s automated emails follow a change the assistant makes, just as they would after the same change in LYGHTBOX. For example, moving a booked session to a new date moves its scheduled client emails. Check the project’s Automated emails, or ask the assistant to list them.
- Changing a scheduled campaign moves it back to a draft, so it won’t go out until you schedule it again in LYGHTBOX.
- Close drafts you have open. If an email draft or campaign is open in LYGHTBOX while the assistant changes it, close or reload it first. Otherwise saving your open copy can replace the assistant’s changes. Booking pages and message templates tell you when their draft has changed and offer to load the latest one.
Move from another platform
Ask the assistant to move your studio over from HoneyBook, Dubsado, Studio Ninja, 17hats, Pixieset, Táve, Sprout Studio, ShootProof, or another platform. It brings your contacts and projects in once, along with what your clients paid. An import holds up to 2,000 records.
Imports need Allow edits. Your role needs to include contacts to import contacts, and projects to import projects.
Before you start:
- Add your services and packages in Settings → Services & Packages. Every imported project needs one of your services.
- Export your records from the old platform, such as a spreadsheet, or paste them into the chat. If you only have a contact list as a CSV file, you can also import it yourself.
How an import works
- The assistant reads your records and matches the old platform’s services and packages to yours. If nothing fits, it asks you to choose one or add it in LYGHTBOX. It never makes up a package or a price.
- It shows you a preview before anything is imported: new contacts, existing contacts it will update, records it can’t import and why, upcoming bookings that will get your service’s client emails, and balances still to pay.
- It asks how statuses match. Each project’s status needs to match one of LYGHTBOX’s: New Lead, Follow Up, Booked, or Closed Lost. For a status like “Retainer paid”, the assistant asks which one to use. It also asks whether to archive past projects, and whether any past bookings should stay in Fulfillment for editing.
- It starts only once you agree to the preview. If anything changes before it starts, the assistant shows you the new preview and asks again.
- It tells you the result: what came in, what was skipped and why, and anything left for you to do.
What comes over
- Contacts: name, email, phone, partner, social profiles, source, referral, notes, tags, and the date they were added. Every contact needs an email. If someone is already in your contacts with the same email, the import only fills in their empty details and adds new notes and tags. Records that share an email become one contact.
- Projects: name, service and package, client, session date, time and location, the amount the client was charged, what they paid and when, notes, and status. Other details from the old platform, such as its contract status and original dates, go into the project’s notes as they were written.
- Payments: what a client paid is recorded as a payment, so the project shows as paid. Amounts are what the client was charged, with no tax added. Nothing is sent to the client.
- Past booked projects are marked delivered, unless you keep them in Fulfillment. If you only want the history, past projects can be archived too.
Invoices, contracts, questionnaires, and files stay on the old platform. An upcoming project with a balance still to pay has no invoice for it, so send one from LYGHTBOX when it’s due.
Imported records are never duplicated. Records already imported from a platform are skipped, even if you’ve archived them since. If an import stops early, what it imported stays. Ask the assistant to run it again, and it brings in the rest.
Emails and reports after an import
- Upcoming booked projects get their service’s client emails as usual. The preview tells you how many.
- Projects whose session has already passed get no client emails.
- Projects imported as booked don’t get questionnaires automatically. You can send one from the project. An imported inquiry you book in LYGHTBOX later gets its questionnaires as usual.
- Upcoming sessions go to your connected Google Calendar as usual; past ones don’t.
- Imported projects don’t count as this month’s new inquiries or bookings on your Dashboard or in Pulse. Their payments count in the month they were paid. An imported inquiry you book in LYGHTBOX later counts as a booking in the month you book it.
Finish your move
- Turn off the old platform’s emails and reminders, so clients don’t hear from both. LYGHTBOX can’t do this for you.
- Confirm marketing consent. Imported contacts aren’t subscribed to your marketing emails. If they agreed to get them, open the import’s page, check These people agreed to get marketing emails from me, and choose Subscribe contacts. Anyone who unsubscribed before stays unsubscribed. The assistant gives you a link to the page, and you can also open it from the import’s entry under Activity in Settings → Connected apps. This needs a role that includes contacts.
- Send invoices for balances on upcoming projects.
See and end connections
Go to Settings → Connected apps to see the apps connected to your account. Each connection shows what it can do, when it was connected, and when it was last used. You see your own connections. If your role can manage team members, you see everyone’s, with who connected each one.
Activity shows what a connection changed, newest first: the record, the details before and after, and when, such as “Claude via Maya”. Choose Activity on a connection that can make changes to see its changes, or scroll to Activity on the page for every connection, including ones that have ended. You see your own connections’ activity, or everyone’s if your role can manage team members. If your role doesn’t include a kind of record, you see that it changed without the details.
To end a connection, choose End connection and confirm. It stops working straight away, and the app has to connect again to use LYGHTBOX.
- Disconnecting in ChatGPT or Claude doesn’t end it here. Neither app tells LYGHTBOX when you disconnect, so end the connection in Connected apps too.
- Connecting again adds a connection. The earlier one stays until you end it. Check Last used and end the ones you no longer need.
- Unused connections end on their own after 90 days.
Troubleshooting
- The assistant’s tools look out of date. ChatGPT and Claude keep their own list of what LYGHTBOX can do and update it about once a day. If the assistant can’t find something your connection allows, or offers something it doesn’t, such as after you connect again with Allow edits, open LYGHTBOX in the app’s connector settings and choose Refresh tools. In Claude, that’s Customize → Connectors → LYGHTBOX; in ChatGPT, open LYGHTBOX from Plugins. You can keep using the same chat.
- “This connection to LYGHTBOX has ended.” It was ended in Connected apps, went unused for 90 days, or the person who connected it is no longer on the team. Connect again from ChatGPT or Claude.
- “This connection can only read.” It was connected with Allow edits off. Connect again with it on, refresh the app’s tools, then end the old connection.
- The account’s plan needs attention. Apps can’t use an account without an active plan, or while a payment needs attention. An account owner can review it in Settings → Billing.
- “Your LYGHTBOX role doesn’t include…” The assistant can only work with the records your role includes. Ask an account owner or team manager to review your role in Settings → Team.
- “Too many requests” or “Too many attempts to connect.” Wait a minute, then try again.
Your data
- The assistant works only with the account you chose when connecting, and only within what your role allows.
- It receives the records it asks for to answer you, such as a contact’s details or a project’s messages, and your name and your studio’s details. What ChatGPT or Claude does with that information is covered by OpenAI’s or Anthropic’s own terms and privacy policies.
- LYGHTBOX receives only what the assistant sends it: what to look up, the changes to make, and the records to import. It never sees your conversation with ChatGPT or Claude.
- LYGHTBOX keeps a record of every change the assistant makes, so you can review it in Connected apps.
