Campaigns and audiences

Email Campaigns are for announcements sent to groups of subscribed contacts. Use them for a mini-session launch, an availability update, a newsletter, or another message that belongs outside an individual project conversation.

Check your email allowance

The paid plan includes 2,000 marketing emails per month. A campaign sent to 100 recipients uses 100 emails. The monthly plan’s 14-day trial includes 250 marketing emails in total.

Open Settings -> Billing to check your available emails and reset date before sending. Emails already being sent also count toward the available amount.

If sending pauses because you reached your trial limit, it resumes when your paid plan begins. If you reach your paid allowance, check Billing for your options or wait for the reset date. Review the campaign’s delivery status before creating another send, so you do not send the same message twice.

Before you create a campaign

Prepare these pieces first:

  1. Go to Settings -> Account -> Marketing.
  2. Complete the Marketing Footer with your studio’s mailing address and website.
  3. Set the sender name, sender email, default reply-to address, and sending domain.
  4. Add the displayed DNS records at your domain provider, then select Check DNS until the domain is verified.
  5. If you want to send to a named list, create the audience under Settings -> Forms -> Audience Lists.

Campaigns add the marketing footer and email-preferences link when they are sent. A campaign-specific reply-to address can override the default sender setting.

Audiences, subscriptions, and contact tags

These three ideas serve different purposes:

Adding a tag does not subscribe someone to marketing email. Removing a tag also does not change their audience history or email preferences.

Audience lists are managed from Settings -> Forms. A contact’s current and past audience memberships appear in their contact details. Audience memberships may record when someone joined, was invited, converted, or was removed.

Create a campaign

  1. Open Email Campaigns from the sidebar.
  2. Select New Campaign.
  3. Enter an internal campaign name, such as Spring mini sessions.
  4. Select Create Campaign to open the campaign editor.

The internal name helps your team find the draft. The email subject is set separately.

1. Choose the audience

The Audience step starts with all subscribed contacts. Add filters when the message should go to a narrower group:

  • Audience List - a specific interest list or waitlist.
  • Project Date - contacts with a booked project in the next or past number of days.
  • Project Service Type - contacts with a booked project for one service.
  • Event Booking - contacts with a confirmed booking for one event.

When you select more than one filter, a recipient must match all of them. For example, selecting an audience list and a service means a contact must belong to that list and have a booked project for that service.

The eligible-recipient count updates as you change the filters. It reflects the contacts who currently match the audience and email-preference requirements; it is not simply the number of contacts in the list.

If an audience list is not ready to receive email, review its email preferences in Settings -> Forms or choose another list.

2. Write and preview the email

In the Editor step, complete:

  • Campaign name.
  • Subject.
  • Optional inbox preview text.
  • Optional campaign-specific reply-to email.
  • Email body.
  • Appearance, including the header, colors, spacing, and logo where available.

Use merge tags only where the editor offers them. Preview the result and leave a sensible fallback in the sentence around a merge tag.

Draft changes save while you work. Check the save status before leaving the page. If saving fails, use Retry before sending or closing the editor.

3. Review and send

The Review step brings together:

  • Current eligible-recipient count.
  • Subject, preview text, and selected audience.
  • Sender name, sender address, domain status, and reply-to address.
  • Final email preview, including the note that the marketing footer and preferences link are added on send.

You can then:

  • Select Send Now to start delivery.
  • Select Schedule to choose a future date and time.

Once sending has started, the draft is no longer editable. A scheduled campaign offers Edit Draft if you need to reopen it before delivery begins.

Understand campaign status

The campaign list shows the subject, relevant date, and current status. Common states include:

  • Draft - still editable and not queued.
  • Delivery scheduled - queued for the displayed date and time.
  • Sending - delivery is in progress.
  • Sent - the send run finished.
  • Failed - the send could not finish; open the campaign for the available delivery details.
  • Cancelled - delivery was cancelled.

After sending begins, the campaign review page shows delivery and performance information as it becomes available.

Archive carefully

Archiving removes a campaign from the campaign list but keeps its delivery history, attribution, analytics, and unsubscribe records.

Archiving does not cancel a scheduled or in-progress delivery. If the send must not continue, resolve that before using Archive.

Review performance

Open the campaign after sending to see its delivery and engagement summary. For a period-wide comparison across campaigns, go to Pulse -> Email. Pulse can show campaign count, sent recipients, estimated open rate, click rate, and attributed conversions.
