Fulfillment

Use Fulfillment to keep editing and delivery on track. See your projects and mini-session bookings together, then open a job to manage its progress, delivery date, gallery links, and client messages.

Jobs appear here when fulfillment starts. Use Tasks for other to-dos, such as ordering supplies or following up with a client.

How jobs enter Fulfillment

New jobs start as Queued.

Projects

A booked project enters Fulfillment automatically after its project date has passed in your account’s timezone. Its contract must be signed and payment complete, or those requirements must be marked not required.

To start sooner, open the project and choose Start fulfillment. The contract must be signed or not required. If payment is incomplete or the project date is still ahead, LYGHTBOX asks you to confirm. Projects without a date need a manual start.

Mini-session bookings

A confirmed booking enters Fulfillment automatically after its final session ends. Any required contract must be signed and the full amount paid.

To start sooner, open the booking details and choose Start fulfillment. The booking must still be confirmed, with its contract and payment requirements met.

Several session times booked together share one job. Bookings made through a service booking page appear under their project.

Find and organize work

Open Fulfillment from the sidebar. Choose Active for work still to deliver or Delivered for finished jobs.

For active work, choose a view:

  • List: review delivery dates, owners, and statuses together. Select All active work, Queued, In progress, or Ready to deliver above the list to narrow it down.
  • Board: see one column for each active status. Drag a card to update its status, or open the job and change Status. Switching to Board shows all statuses while keeping your other filters.

LYGHTBOX remembers your view and status selection in this browser. Delivered jobs appear in List view.

Search by job or client, or filter by Job type, Service or session, and Owner. Use Waiting for work waiting on someone else and Overdue for missed delivery dates.

Clear filters resets job type, service or session, and owner. Clear the search or turn off Waiting and Overdue separately.

To update several active jobs, select their rows in List view and choose Change status.

Track progress

Open a job to manage its work:

Ready to deliver keeps the job active. Choose Mark delivered only after delivery, or use Send & mark delivered when sending the delivery message.

Assign an Owner so your team knows who is responsible. If work is paused, choose Waiting on the client, editor, lab, or someone else, and add a reason if helpful. The job keeps its current status.

Set a delivery date

Set a default Delivery time in days or weeks:

  • For projects, open the service type in Settings -> Services & Packages and use Delivery.
  • For mini sessions, open the booking page’s Settings -> Delivery.

LYGHTBOX sets the delivery date when work starts, counting from the project date or the last session date when several sessions were booked together. If a project has no event date, it counts from when work starts. Leave Delivery time blank to choose a date for each job.

Use Delivery date in the job to set or change its date. Changing a service’s delivery time or rescheduling a session does not update dates on existing jobs. Review the delivery date if your plans change.

Keep the work and conversation together

The job’s Fulfillment tab contains:

  • Galleries: keep gallery links with the job. Use Manage galleries to add or update a link. Choose Write message beside a gallery to prepare a message with its link, then review the message before sending.
  • Checklist: add the steps needed for this job, edit them, and check them off as you work.

Open Team comments for internal discussion. Only your team can see these comments. Scroll through the history above the comment box, and press Shift+Enter to post. Use the pencil icon to edit your own comments or the trash icon to delete them.

Use Client messages to email the client.

The details panel shows the project or booking information and notes. Editing notes here also updates them on the project or booking. Choose Open full details for more options.

On smaller screens, switch between Work & messages and Project details or Booking details.

Deliver the work

There are two ways to mark a job delivered:

  1. Already delivered: choose Mark delivered in the job, then Confirm. This marks the work delivered without sending a message.
  2. Send the delivery message now: open Client messages, check the recipient, subject, message, and gallery link, then choose Send & mark delivered. The job is marked delivered once the message is sent.

Use Send message for other replies. Sending a regular message or adding a gallery link leaves the job active.

Delivered jobs move out of Active and into Delivered. The project or booking’s Fulfillment card shows the updated status too. Your tasks stay unchanged.

If the message was sent but the status could not be updated, use Retry marking delivered. This updates the status without sending the message again. If the app says the message may have been sent, check the conversation before trying again.

Open fulfillment from a project or booking

The Fulfillment card on a project or mini-session booking keeps the status, delivery date, and gallery links handy. Use Add gallery or Manage galleries to change links, or Open fulfillment to work on the job.

Before work begins, the card shows Not started. If starting fulfillment is unavailable, check the booking or project requirements described above.
