Services and pricing

Services organize the work your studio offers. Add packages with prices and durations, then reuse them in projects and booking pages.

Go to Settings → Services & Packages. The page has separate tabs for Packages, Add-ons, and Discounts.

Create a service

In Packages, select New service and create one service for each major kind of work you offer, such as weddings, families, newborns, branding, or school portraits.

Add a clear name and description. Clients may see the name in forms and booking pages.

Set delivery preferences

On the service’s Details tab, set an optional Delivery time in days or weeks. Delivery is due that long after the project date. If there is no project date, the time starts when fulfillment begins.

When work starts, the project appears in Fulfillment. You can adjust its delivery date there.

Mini-session booking pages have their own Delivery time, counted from the session date. See fulfillment for managing progress and delivery dates.

Client emails

Use Client emails to send your own messages automatically to every booked project that uses this service, such as a welcome email after booking, a planning email two weeks before the session, or a thank-you and review request after delivery.

  1. Edit the service and open the Client emails tab.
  2. Under After booking, Around the project date or After delivery, select Add email.
  3. Choose a message template, then set when it goes: Right away or a number of days or weeks later after booking or delivery, or a number of days or weeks before or after the project date.
  4. Select Save.

Emails go to the project’s main contact once the project is booked. Emails timed from the project date also wait for it to have one. Create the messages first in Settings → Templates. You can add up to 20 client emails to a service.

Emails after booking go to every booked project, whether it was booked online, marked booked by you, or booked when its contract and payment came in:

  • They count from when the project was first booked, so marking it booked again doesn’t send them twice. Ones set for a number of days go at 10:00 on that day.
  • One that would arrive after the session has started isn’t sent.
  • Adding an email doesn’t reach projects whose send time has already passed. An email set to go Right away reaches projects booked in the last two hours. Projects that were already booked when you imported them don’t get emails after booking.

Emails after delivery go once you mark a project delivered, with Mark delivered or Send & mark delivered:

  • They count from when the project was marked delivered, not from the project date. Ones set for a number of days go at 10:00 on that day.
  • They still go if you archive the project after delivery. Archiving stops every other client email.
  • With Send & mark delivered, your own email goes first, so an email set to go Right away after delivery arrives just after it.
  • Projects that were already delivered when you imported them don’t get them.

Changes to a service’s client emails also update the emails scheduled for its booked projects. Edits to a template’s wording apply to emails that have not been sent yet.

To leave out one email for a single project, open the project’s Automated emails in the sidebar and choose Skip.

Reply to inquiries

To answer new inquiries right away, edit the service, open Client emails, and choose a message template under Reply to inquiries. When someone submits an inquiry form for this service, they get that email within moments.

  • Only inquiries that arrive after you turn it on get a reply. Projects you add yourself, imports, and online bookings don’t.
  • If you’ve already emailed the client or booked the inquiry, the reply isn’t sent.
  • The project keeps showing Needs reply until you write back yourself.

The reply appears in the project’s Automated emails. To stop sending it, choose Don’t send a reply.

Follow up when inquiries go quiet

To nudge clients who haven’t answered, edit the service, open Client emails, and choose Add follow-up under Follow up when inquiries go quiet. Pick a message template and how many days after your last message it goes. You can add up to 3, for example a check-in after 3 days and a closing email after a week.

  • Follow-ups count from your last email to the client, or from the automatic reply if you haven’t written yet. Each goes at 10:00 on its day.
  • If the client replies before a follow-up goes out, they wait for your answer and count from it.
  • Once a follow-up has gone out and the client replies, the rest stop for good.
  • They stop when the inquiry is booked, and pause while it’s archived or Closed Lost. After you reopen it, only follow-ups whose day hasn’t passed are sent.
  • A follow-up never goes after a later one has.
  • Only messages you send after turning follow-ups on start them, so older inquiries aren’t emailed.

Follow-ups appear in the project’s Automated emails, where you can skip one.

Add packages

Select a service, then choose New package to add the packages clients can choose for it. A package includes:

  • A name and description clients can see.
  • A price in your account currency.
  • A duration in minutes or hours.
  • Included photos: how many photos the client receives, or All photos.
  • An optional contract template and questionnaires.
  • Any add-ons that should be available with it.

Package examples include “Essential Collection,” “Full Portrait Session,” or “Half-Day Brand Session.” Use the description to explain what is included.

Booking preferences

In the package’s Booking preferences, choose a contract template and add questionnaires with Add questionnaire. For each questionnaire, choose when it goes to the main contact:

  • After booking.
  • Before the project date, a set number of days before.
  • Send manually, when you want to send it yourself from the project.

A service booking page can use the package’s contract or a different contract chosen for that page. To use package contracts, every package offered on the page must have the same template.

Clients can choose the add-ons enabled for their package. If they select multiple packages, only add-ons available with every selected package are offered.

Build the add-on library

Use Add-ons for extras you sell with a package or after booking. Select New add-on, choose a Type, then add a name and price.

  • Standard: a fixed extra, such as an album or a second shooter.
  • Extra photos: priced per photo or as a bundle of photos.
  • Full gallery: every photo from the session. It is not offered when a booking already includes all photos.
  • Expedited delivery: a faster delivery time, counted from the session date. The delivery date only moves if this makes it sooner.
  • Extra time: adds time to a project’s session. Available for projects only.

Use Available for to offer an add-on on projects, mini sessions, or both.

Booking pages only offer Standard and Expedited delivery add-ons. Add the other types to a project or booking after it is booked. To offer an add-on with a package, edit the package and turn the add-on on. You can reuse an add-on across packages.

Once an add-on has been sold, its type cannot be changed.

Create discounts

In Discounts, select New discount. The Name is also the code clients enter, such as BUNDLE10. Uppercase and lowercase letters work the same way. Choose a Discount type, either Percentage or Fixed amount, and the amount.

Then choose which bookings qualify:

  • Minimum packages or slots: optional. Add-ons do not count toward this minimum.
  • Booking pages: all booking pages, service pages, or mini-session pages.
  • Eligible bookings: for service pages, any service, a particular service, or a particular package. For mini-session pages, all mini sessions or one mini session.

Bookings must meet these conditions whether clients enter the code, follow a discount link, or get the discount automatically. Turn on Apply automatically to apply the discount without a code whenever the conditions are met. The discount applies to the whole booking, including add-ons.

If several discounts qualify, only the one that saves the client the most is used. Keep Enable discount on to make it available. Turn it off to stop all use of that discount, including codes and links, while keeping it for later.

To let clients enter a code, turn on Let clients enter discount codes in the booking page’s Payment settings.

To share a discount link, add ?discount=BUNDLE10 to the end of your booking link. Replace BUNDLE10 with your discount name. If the link already contains a ?, add &discount=BUNDLE10 instead.

Where services and packages are used

Once set up, services and packages are available throughout LYGHTBOX:

  • Projects you create need a service and can also use a package.
  • Service booking pages offer selected packages and package add-ons.
  • Inquiry forms can use a service you choose, or let the client choose with a Service type field.
  • Invoices can use project and package amounts as a starting point.
  • Dashboard and Pulse group performance by service.
  • Contacts and campaigns can be filtered by the services connected to their projects.

Changes to your services and packages apply to new work. Existing projects, invoices, and completed bookings keep their saved details. Client emails are the exception, as described above.

Keep pricing easy to understand

Before sharing a booking page:

  1. Confirm each package has the right duration and price.
  2. Make sure only relevant add-ons are enabled.
  3. Try automatic discounts and discount codes separately.
  4. Check the selected contracts and questionnaires.
  5. Open the published booking page and review the client experience.

Prices use your account currency, which is set at signup and cannot be changed. Check it before adding packages, add-ons, or paid bookings.
